Who we are

Keep & Tend is a shared care app for families looking after an aging parent. It is operated by Southbound Software. You can reach us at hello@keepandtend.com.

Information we collect

• Account information such as your name and email address when you create an account.
• Care information you add such as medications, appointments, notes, documents and the people in your family.
• Documents you upload such as medication lists, insurance cards, power of attorney and discharge papers.
• Waitlist information such as the email address you give us on this site and the source of the link you followed.
• Basic technical information needed to run the service safely, such as timestamps and error logs.

How we use your information

We use your information to run Keep & Tend: to create and organize the care information you and your family share, to send the reminders you ask for, to answer your support questions, and to keep the service secure and reliable. We use the email address from the waitlist to tell you when the app is ready.

How AI reads your documents

When you take a photo or upload a document, we send that file to our AI provider so it can read the medications, dates and other details. We only do this for documents you choose to upload, and we show you what was read so you can correct it before anything is saved. Nothing is added to your family's records without your confirmation.

We ask our AI provider to process your documents only to return the result, with no training on your data and minimal retention. If you prefer, you can add and edit every medication by hand and use Keep & Tend without a single AI scan.

Health information

Care information can be sensitive. We treat it as private data. It is encrypted in transit and at rest, it is visible only to the family members you invite, and it is never used for advertising.

When we share information

We share information with the family members you invite, because that is the point of the app. We also use service providers such as cloud hosting, the database, AI document reading, email delivery and payment processing. These providers only handle your data to provide their service to us.

We do not sell your data, and we do not share it for advertising. We may disclose information if the law requires it or to protect the safety of a person.

Your choices and account deletion

You choose what to add, what to share and who to invite. You can remove a family member, and you can delete content you added. You can also delete your account and its data at any time, or ask the owner of a family to delete the whole family. Write to hello@keepandtend.com if you need help.

Data retention

We keep your information while your account is open. When you delete your account, we delete or anonymize the information you own, except for records we must keep for legal, tax or security reasons. Backups are cleared on a rolling basis.

Security

We use encryption in transit and at rest, private storage, and access controls that limit each family to its own information. No system is perfect, so we also keep the amount of data we hold to what the service needs.

Children

Keep & Tend is meant for adults caring for other adults. It is not directed to children and we do not knowingly collect information from a child.

Changes to this policy

We may update this policy as the product grows. When we make a meaningful change we will tell you in the app or by email.
